Privacy Policy

Focus.AI ("we", "our", "us") operates the Focus.AI mobile application (the "App"). This Privacy Policy explains how we collect, use, disclose, and protect your information when you use the App, including how and why your personal data is shared with third-party AI services.

1. Information We Collect

Information you provide

Account information — email address, display name, and profile picture when you register or sign in via Google or Apple.
Task data — task titles, descriptions, due dates, priorities, task types, estimated durations, and completion status.
Calendar events — event titles, start times, and end times from calendars you create in the App or sync from Apple Calendar, Google Calendar, or other connected calendar services.
Goals — goal titles, descriptions, target dates, and progress you record in the App.
Focus sessions — start/end times, duration, and self-reported focus scores for sessions you complete.
Energy and mood logs — self-reported energy levels (on a 1–5 scale) and mood data you log manually.
Chat messages — text you send to the AI assistant and the conversation history of those messages.
Integration credentials and data — OAuth tokens for third-party services you choose to connect (e.g., Todoist, Notion, Google Calendar, Slack, Microsoft Teams, GitHub). Tokens are stored encrypted on our servers.
Health and fitness data — if you connect a health or fitness service (Apple Health, Google Fit, Fitbit, or Strava), we collect metrics such as step counts, workout minutes, sleep duration and quality, and resting heart rate to personalize your schedule and focus recommendations. This data may be shared with our AI provider as described in Section 3. You control this entirely by choosing whether to connect these services.
Work schedule preferences — your configured work start/end times, preferred focus duration, break duration, and buffer time between tasks.
Challenge photo proof — if you take part in a challenge that requires photo evidence, the photos you submit. These are shown to the other participants of that challenge, who approve or reject them; that is the purpose of submitting one. See Section 5.
Abuse reports — when you report a user or a piece of content, we record who you reported, the reason you selected, any details you write, and what you reported it about, so we can review it.

Information collected automatically

Behavioral patterns — peak productivity hours, average task durations by type, task completion rate, focus score averages, and energy patterns by hour.
Usage data — screens viewed, features used, and streak statistics. Screen views and feature-usage events (for example, starting a focus session) are processed for us by our analytics provider PostHog on servers located in the EU, associated with a pseudonymous account identifier — never your email or name.
Device information — device type, operating system version, and app version.
Error reports — crash logs and performance data to help us improve the App.

2. How We Use Your Information

Provide, maintain, and improve the App's features (task management, calendar, focus sessions, AI assistance).
Generate AI-powered suggestions, daily plans, insights, and reflections personalized to your data (see Section 3).
Sync your data with third-party integrations you have connected.
Send notifications you have opted into (reminders, focus session alerts, daily reflections).
Derive productivity patterns to surface insights and recommendations within the App.
Diagnose technical issues and improve app performance.

3. Third-Party AI Service — Data Sharing

Before any of your data is sent to a third-party AI service, you are presented with an explicit consent screen during onboarding that lists what data may be shared and asks for your permission. No personal data is sent to any AI service until you grant consent. You may withdraw consent at any time in Settings → AI Assistant → Disable AI Features.

Which AI provider receives your data

The provider depends on your app version, so your data only ever reaches the provider your app's consent screen disclosed:

App versions before 1.7.7 — NVIDIA Corporation (integrate.api.nvidia.com). NVIDIA privacy policy
App versions 1.7.7 and later — Google LLC via the Gemini API (generativelanguage.googleapis.com). Google privacy policy

Purpose (both providers): smart task parsing, daily planning, schedule suggestions, productivity insights, chat assistant, goal suggestions, and evening reflections. The table below lists every AI-powered feature, what personal data is sent to the AI provider for that feature, and whether it is triggered automatically or only by your explicit action.

Only the context listed above for each feature is sent — we do not send your full data history with every request. Your email address, password, authentication tokens, and full account identifiers are never sent to the AI provider.

Data protection commitments: Neither provider uses data submitted through its API to train or improve its AI models. Google's paid Gemini API additionally does not retain data beyond a short, limited period for abuse monitoring. In both cases, data is processed solely to generate a response to your specific request.

4. Screen Time & App Blocking (On-Device)

The App includes an optional focus-blocking feature that uses Apple's Screen Time / Family Controls framework to shield distracting apps and websites during focus sessions and during calendar events you mark as a "Focus session."

You choose what to block using Apple's native app & website picker. We request Screen Time authorization the first time you use the feature; you can decline it, and you can revoke it at any time in iOS Settings → Screen Time.
Your selection never leaves your device. Apple provides your chosen apps, categories, and websites to the App only as opaque tokens — we cannot see which specific apps or sites you selected. The selection is stored solely in a local, app-private container on your device.
It is not transmitted anywhere. This selection is never sent to our servers, to the AI service described in Section 3, or to any other third party.
Purpose. It is used only on your device — by the App and its system extension — to apply and remove app/website restrictions for the focus windows you set, and to show how many items you have selected.
This feature is available on iOS only and is entirely optional; the App works without it.

5. Data Sharing (Non-AI)

We do not sell your personal information. Outside of the AI service described in Section 3, we share data only in these circumstances:

Other users you choose to share with — the social features share data with people you interact with, by design. Direct messages go to the friend you send them to. If you opt in to the leaderboard, your display name and ranking metrics are visible to other users. In a challenge, your progress is visible to the other participants — and if it uses photo evidence, the photos you submit are shown to the other participants of that challenge so they can approve or reject them. Photo proof and message images are stored via our hosting provider at an unguessable web address; treat anything you photograph as something the other participants will see.
Third-party integrations — only the data necessary to sync with services you explicitly connect.
Service providers — hosting, database, error tracking, and app-analytics services (PostHog, EU-hosted) that process data on our behalf under strict confidentiality agreements.
Legal requirements — if required by applicable law, regulation, or valid legal process.

6. Data Security

All data in transit is encrypted via TLS/HTTPS.
Integration tokens are encrypted at rest using AES-256.
Authentication uses industry-standard JWT tokens.

7. Data Retention

Your account data is retained as long as your account is active.
AI response cache entries on our servers are automatically deleted after 30 days.
You can delete your account and all associated data at any time within the App under Settings → Account → Delete Account.

8. Your Rights

Depending on your jurisdiction, you may have the right to:

Access the personal data we hold about you.
Correct inaccurate data.
Request deletion of your data.
Export your data in a portable format.
Withdraw consent for AI data processing (via Settings → AI Assistant → Disable AI Features).
Object to processing of your data.

9. Children's Privacy

The App is not intended for children under 13. We do not knowingly collect personal information from children under 13.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy in the App and updating the "Last updated" date above.
